1. Information We Collect

Depending on your enquiry or service, we may collect contact details such as your name, telephone number and email address; business information such as company name, proposed activity and jurisdiction; and enquiry, consultation, correspondence, payment and invoice records.

Where reasonably required for an agreed service, we may also collect passports, Emirates IDs and other identity or verification documents; details about shareholders, managers, employees, dependants or authorised representatives; visa, immigration, establishment and employment information; and company, accounting, tax, invoice and transaction records.

Website technical information may include device, browser, IP address and cookie identifiers where the relevant technologies are activated. We seek to collect only information reasonably required for the enquiry, legal obligation or agreed service. Please do not send passports, Emirates IDs, passwords or unnecessary confidential records through an ordinary initial-enquiry form.

2. How We Collect Information

We may obtain information through website forms, email, telephone, WhatsApp, consultations and documents supplied during an engagement. Information may also come from an authorised company representative, shareholder, referral or professional partner, public register, government authority or approved service provider.

If you provide information about another person, you must be authorised or otherwise legally permitted to provide it and, where appropriate, inform that person about the disclosure. The website’s current enquiry form prepares an email in your own email application; it does not presently transmit the enquiry to an ITQAN website database.

3. How We Use Personal Data

We may use personal data to respond to enquiries; assess requirements; prepare proposals or quotations; establish and deliver agreed services; verify identities and documents; process company-formation, PRO, visa, accounting, tax, IT or marketing work; coordinate submissions; issue invoices; maintain business and compliance records; meet legal obligations; protect our systems; and improve website functionality.

Processing may be based on consent, steps requested before entering a contract, performance of an agreement, compliance with legal obligations or another ground permitted by applicable UAE law. We send marketing communications only where legally permitted. Withdrawing marketing consent does not prevent essential service communications.

4. How We Share Information

Where reasonably required for an agreed service or legal obligation, information may be disclosed to UAE economic departments, free-zone, immigration, labour and tax authorities; embassies and consulates; medical, translation and attestation providers; banks and financial institutions; accountants, auditors and legal advisers; and approved hosting, email, document-storage, analytics, IT, payment or professional service providers.

These organisations may process information under their own legal responsibilities and privacy policies. ITQAN does not sell personal data for monetary consideration.

5. International Data Transfers

Some communications, technology or professional providers may process or access personal data outside the UAE. Where applicable, ITQAN will assess the transfer and use safeguards required by UAE law, taking account of the destination, provider and nature of the information. We do not claim that all information remains inside the UAE.

6. Data Retention and Security

Retention depends on the requested service, contractual requirements, government procedures, accounting and tax obligations, legal limitation periods, dispute handling and regulatory requirements. Information is deleted or securely disposed of when no longer required, subject to lawful retention obligations.

ITQAN uses proportionate administrative and technical measures, which may include controlled access, secure systems, confidentiality requirements, backups and access monitoring. No electronic transmission or storage system can be guaranteed completely secure.

7. Individual Rights

Subject to applicable UAE law and its conditions or exemptions, individuals may have rights to request information about processing, access personal data, correct inaccurate information, request deletion or restriction, object to certain processing, request data transfer, withdraw consent and challenge certain automated decisions.

We may verify a requester’s identity and authority before responding. A request may be refused or limited where records must be retained by law, for legal claims, regulatory requirements or another lawful reason. Individuals may also complain to the competent UAE authority where that right applies.

8. Cookies and Marketing

The website does not currently use Google Analytics, advertising pixels or other identified non-essential tracking technologies. Before these technologies are activated, this policy and the website’s cookie information will be updated and an appropriate consent mechanism introduced where required.

Optional marketing consent will be kept separate from essential service processing. Marketing messages will provide an appropriate way to opt out, and opting out will not affect communications needed to deliver an agreed service.

9. Children’s Information

Our website and general business services are not directed at children. When information about a minor or dependant is legitimately required for a visa or immigration service, it should be supplied by an authorised parent, guardian or representative.

10. Policy Updates and Contact

We may update this policy when our services, technologies, practices or legal obligations change. The latest revision date will be displayed at the top of this page. Changes to this website policy do not automatically alter a separate signed service agreement.
